Practical workshop guide

What should a digital workshop job card contain?

A digital job card connects the customer, vehicle, reported problem, assigned staff and progress of one workshop visit. AutoAxxiz links that visit to its inspection, quote and invoice so your office and workshop floor can work from the same record.

Record the intake

Capture the customer, registration, vehicle details, mileage and the customer’s complaint. Assign a mechanic and an estimated completion time when you know them. Record arrival condition with an inspection rather than relying on a personal photo gallery.

Keep findings and approval together

Record inspection findings as PASS, ADVISORY or FAIL, with notes and evidence. Prepare the quote from the work required and send it through the configured WhatsApp workflow. Check that the approval refers to the intended quote before proceeding.

Hand over between people

A typical visit might start with “noise when braking”, move to an inspection of the front brakes, then an approved parts-and-labour quote. The office, foreman and assigned mechanic can follow that visit through the job statuses without copying it into separate spreadsheets.

Invoice and collect

Generate the invoice from the approved quote, record payment and complete the collection handover. Payment links and automated reconciliation require a configured and verified provider. Cash and EFT can be recorded manually.

Move from paper in a controlled pilot

Start with a small set of customer and vehicle records, agree who captures intake and who sends quotes, then run one complete visit through to collection. Compare the saved job, approval, invoice and payment against your previous process before expanding.
